Job Description:

North Dakota State University (NDSU) invites nominations and applications for the position of Assistant to the Vice President for Research and Creative Activity (VPRCA). This is a 12-mo, full-time position reporting directly to the VPRCA. The position is available immediately, although start date may be flexible. The Assistant provides personal staff support for the VP and performs defined HR and personnel duties for the Office of Research and Creative Activity.
Provide professional staff support for the VP and the VPRCA Office:
•Coordinate the VP’s schedule
•Maintain and organize the VP’s mail, files, and paperwork
•Develop correspondence and research issues for background information, copying, filing, and mailings
•Coordinate travel arrangements for the VP
•Handle confidential documents and issues
•Conduct other duties for the VP as assigned
Act as liaison between the VPRCA Office and internal and external contacts
•Serve as the initial point of contact for the Office of Research and Creative Activity
•Serve as key liaison between the Vice President and the President, other VPs, Deans, Chairs, Research & Tech Park staff, Congressional delegates, business and foundation executives, state and federal grant agencies, and the ND EPSCoR office
•Coordinate office events and initiatives, such as meetings, conferences, official functions, and social events hosted by the VPRCA
Act as the Office of Research and Creative Activity’s personnel coordinator for hiring, orientation, and training, as well as for separation when an employee leaves the unit
Maintain all local personnel files for the Office of Research and Creative Activity

Minimum Qualifications:
• Minimum of 2 years of college
• Minimum of 4 years of experience working in an upper level administrative office environment
• Interpersonal skills required to effectively work with upper level executives and administrative staff which involves the professional handling of confidential matters
• Interpersonal skills required to effectively and respectfully interact with co-workers from a diverse range of backgrounds and personalities in a busy office setting
• Interpersonal skills allowing effective interaction with a range of clientele from diverse backgrounds both within and outside the organization
• Previous work experience using Microsoft Office Suite
• Experience with multiple phone lines, fax, email, text, scheduling software, photocopier, and other standard office equipment
• Positive attitude
• Strong verbal and written communication skills appropriate to executive level communication
• Experience handling issues with professionalism, discretion, and integrity

Preferred Qualifications:
• 4 years of experience working in an administrative office in higher education at the Dean’s level or higher
• Evidence of excellent interpersonal skills and emotional intelligence
• The ability to positively promote the unit
• Awareness of NDSU’s policies, procedures, personnel, and organizational structure
• Flexibility to work successfully in rapidly changing situations
• Experience using PeopleSoft platform
• Experience using PeopleAdmin employment system
