Job Description:
Provide administrative support to the business operations of the Graduate School including support to the Dean and provide support to the recruitment, admission and application process.

Review, approve and track contracts for all graduate assistantships; verify and track required annual trainings for all graduate assistants; review, process and track HR/Payroll forms for non-academic departments; generate graduate tuition waiver reports and verify student records in PeopleSoft; verify and track graduate tuition waivers, and Graduate Dean’s tuition waiver; assist with payment reports; process and track English Language Proficiency student records; manage department listserves; process travel arrangements; assist with Graduate School event planning and scheduling; monitor Graduate School email account; assist with processing graduate student applications including professional; assist prospective students in determining their application status; review applications for completeness and accuracy; serve as primary contact for the Dean, screening and scheduling appointments and meetings as needed, manage the Dean’s calendar, and making necessary arrangements for meetings; schedule meetings for weekly staff meetings, Graduate Council and Graduate Program Leaders; serve as the recording secretary during weekly staff meetings; other duties as assigned.

Work Schedule:
Monday-Friday: 8:30 am to 5:00 pm (Academic Year)
Monday-Friday: 7:30 am to 4:00 pm (Summer & Break)

Minimum Qualifications:
•Associate’s degree or equivalent related experience
•Exceptional attention to detail, with emphasis on accuracy, follow-through and adherence to deadlines.
•Evidence of efficient and excellent written and verbal communication
•Technical acumen as demonstrated by experience and fluid understanding of desktop programs, including Microsoft Office Suite for word processing, spreadsheets and database management, and emailing
•Demonstrate organizational skills
•Excellent customer service skills
•Ability to manage time and resources
•Ability to multi-task
•Ability to work effectively with a wide range of people
•Ability to work independently and as part of a team

Preferred Qualifications:
•Bachelor’s degree.
•Experience working in a higher education or administrative office
